About Polca

Polca is an AI platform for life insurance agencies.

Polca (polca.ai) gives a life insurance agency Ava, an AI appointment setter that calls the agency's own fresh and aged leads and books appointments on its agents' calendars; a power dialer that calls under the agency's registered name; and the agency's lead, policy and commission records in one place. This page states what each part does, plainly.

What is Polca?

Polca is sales and operations software for life insurance agencies and independent life insurance agents who sell by phone. It is made by POLCA LLC and runs in the web browser at polca.ai. Agents can also use the Polca app for iPhone and iPad.

Polca was built inside a working life insurance agency that runs about 65,000 outbound AI minutes a month.

Polca (polca.ai) is not the POLCA production-control method used in manufacturing, and it is not related to Polco.

What is Ava?

Ava is Polca's AI appointment setter: an AI voice agent that calls an agency's leads under the agency's name. She confirms the lead's state, coverage need and age band, handles common objections such as “I already have insurance,” and books the appointment on the right agent's calendar.

Ava does not sell insurance. She never quotes prices, never takes applications and never binds coverage. The licensed conversation belongs to the agent.

She calls fresh leads within minutes and works aged leads that were never fully worked. She answers callbacks 24 hours a day and can reschedule on the same call. When a lead wants to talk now, she live-transfers the call to one of the agency's reps, and the appointment she booked stays on the calendar as a backup.

Ava can also text leads (Ava Texting): she answers their texts and books in the thread, follows up with new leads, confirms appointments, sends reminders, and texts after no-shows and missed calls. The agency turns each part on or off and signs a texting-consent attestation before it goes live. See AI texting for life insurance leads.

Ava's calls are transcribed and summarized, and recorded where the agency's recording setting and the lead's state allow it, so the agent knows the lead's details before the appointment.

What is the Polca Power Dialer?

The Power Dialer is for reps who dial their own leads. It moves the rep from one lead to the next and shows the lead the agency's registered name on caller ID (and logo where the carrier and phone support it). Calls go out from a managed pool of numbers that Polca rotates and monitors for spam labeling.

One tap sets the call's disposition and advances the list. The recording, notes and next action are saved, and callbacks ring the rep's cell phone.

The dialer is agent-paced: it places a call only for a rep who is there to take it. Predictive and multi-line modes are not turned on by default.

Caller ID display depends on the carrier and the phone, so no dialer can promise the agency's name on every call.

What else is in Polca?

A book of business with each policy's status, annual premium, advance and persistency, kept up by the agency's agents. Commissions, from comp level and overrides to advances, chargebacks and net paid per policy. Leaderboards and team activity. Carrier quoting from one health intake with conditions and medications.

Who is Polca for?

Life insurance agency owners, their agents and managers, and independent agents who subscribe for themselves. It is built for agencies that sell by phone to leads they have consent to call, including final expense, mortgage protection, IUL and veterans life insurance.

An agency account gets its own environment, caller-ID brand registration in the agency's name, admin controls for seats and roles, and team reporting. An individual agent gets the same seats without agency setup.

How does Polca work with GoHighLevel?

Polca works on its own, without GoHighLevel. GoHighLevel (HighLevel) is an optional integration. An agency that uses it connects its sub-account once; contacts, tags, calendars and appointments, conversations, pipelines and opportunities sync both ways, usually within a minute or two. Appointments that Ava or an agent books land on the calendar, and call notes and dispositions are written back to the contact. Polca never deletes GoHighLevel contacts. See the GoHighLevel connection guide.

Polca is an independent product and is not affiliated with or endorsed by HighLevel.

How does Polca handle calling compliance?

Polca gives your agency calling controls; your agency stays responsible for its own compliance. On every call, AI or human, Polca checks your agency's opt-out list at dial time, adds opt-outs it detects on calls (words like “stop”), calls only between 9 a.m. and 7 p.m. in the lead's local time and never on Sundays, caps attempts per lead, and gives you a kill switch for all outbound dialing. Polca does not scrub your lists against the National or state Do Not Call registries. AI voice calls need prior express written consent, and your agency certifies that consent for each list before Ava calls it. Polca gives no legal advice and no compliance guarantee. The full rules are in the Calling & AI Voice policy.

Calls go through an authorized carrier network with STIR/SHAKEN attestation. Recordings are kept for 90 days, then deleted.

How is agency data protected?

Each agency's data is kept apart from every other agency's by row-level security in the database. Users and seats belong to one agency environment, and access can be revoked right away. The agency owns its contacts, scripts, recordings and presentation history and can export them. Details are on the Security & Trust page. Report security issues to security@polca.ai.

What results has Ava produced?

As of November 2026, one agent on Ava averages, each month, 46 appointments booked by Ava, 5 clients signed by the agent (about 11% of booked appointments) and $9,856 in annual premium (AP) written: about $118,000 a year. That is about $10 of AP written for every $1 spent on Ava (9.9×, measured against what the agency pays for Ava). The top agents are on pace for $134,000 to $137,000 a year of AP from Ava-booked appointments. Ava booked the appointment; the agent signed the client. A signed client counts when the agent signed them within 60 days of the appointment Ava booked, and AP counts everything signed. Source: the production records of the agency Polca was built in. Individual results vary. Recordings of real booked calls are on the homepage.

How is Polca priced?

Polca is priced per seat per month, with three seat types: Platform, Power Dialer (includes Platform) and AI Appointment Setter (includes the Power Dialer and Platform). AI minutes are bundled, so there is no overage. Book a call for a quote.

Plans are month-to-month. Agency setup (caller-ID brand registration, number provisioning and onboarding) is quoted per agency and can be waived for a seat commitment. New AI seats come with the 30-in-30 guarantee: if Ava does not book 30 appointments in the first 30 days, she keeps working at no charge until she does, under the conditions on that page.

How fast can an agency start?

Most agencies are power-dialing in the first week. The slow part is registering the agency's brand and numbers with the carriers so its name shows on caller ID. AI dialing starts once the numbers clear and the agency owner completes the AI consent confirmation.
