What setup costs should you expect?
- Texting registration. Business texting in the US runs through A2P 10DLC registration. Closelio lists $61 once, then $10 a month (pricing).
- Caller ID and numbers. Local numbers, branded caller ID registration and number rotation. Some vendors bundle these, others bill per number.
- Build time. Builder platforms leave the script, calendar booking, CRM connection, transfers and compliance settings to you or a contractor.
- Consent review. Someone has to read each lead source's consent language before an AI voice calls it. That cost is the same on every platform.
- Agency setup. Polca quotes agency setup (caller-ID brand registration, number provisioning and onboarding) per agency and can waive it for a seat commitment.
What drives the cost of an AI setter?
- Lead age. Old leads take far more dials per booking. In Ava's 2026 calls, fresh leads took about 21 dials per booking and aged leads about 480 (the data). On per-minute or per-call pricing, an aged list costs more per appointment.
- Voicemails and short calls. Most outbound attempts don't turn into a conversation. Per-minute and per-call billing charge for them anyway.
- Attempts per lead. More attempts book more appointments and cost more on usage pricing. In Ava's data, 23% of bookings came on the sixth call or later.
- Callbacks and transfers. Inbound callbacks and live transfers use minutes too; check whether they are billed the same way.
- What else the seat includes. A dialer, texting, numbers, CRM and calendar can be part of the price or separate bills.
How does that compare to a human appointment setter?
The Bureau of Labor Statistics doesn't track “appointment setter” as its own job. The closest occupation it reports is telemarketers: a median wage of $17.04 an hour, or $35,450 a year, in May 2025 (BLS hourly; BLS annual).
That is the wage alone. A setter also costs payroll taxes, any benefits or bonuses, a dialer seat and numbers, a manager's time, and the leads they burn while they learn. They call during their shift only, and every hire who leaves takes the learning curve with them. See human vs AI appointment setter for the full comparison.
How should you compare the cost?
On what you get, not what you pay per minute.
- Cost per kept appointment = total monthly setting cost (subscription, minutes, numbers, texting and setup spread over a year) divided by appointments that actually happened.
- Premium per dollar = annual premium written from those appointments divided by what you spent on setting.
- Run the tools on the same lead source for the same month before you decide.
For reference, here is what Ava has produced, per agent:
Per agent on Ava, each month (as of November 2026): 46 appointments booked by Ava, 5 clients signed by the agent (about 11% of booked appointments), and $9,856 in annual premium (AP) written, about $118,000 a year. That is about $10 of AP written for every $1 spent on Ava (9.9×, measured against what the agency pays for Ava). Top agents are on pace for $134,000 to $137,000 a year of AP from Ava-booked appointments.
Ava booked the appointment; the agent signed the client. A signed client counts when the agent signed them within 60 days of the appointment Ava booked; AP counts everything signed. Source: production records of the agency Polca was built in. Individual results vary. Hear real booked calls.

Common questions
How much does an AI appointment setter cost per month?
On prices published as of November 3, 2026: builder platforms charge from $0.05 a minute (hosting only) to $0.31 a minute, plus build costs, and insurance-specific monthly plans start at $149. Some vendors quote only on a call.
Is per-minute or flat pricing cheaper for an AI setter?
It depends on volume and lead age. Aged lists take many more dials per booking, so per-minute or per-call bills grow faster on them than a flat or bundled price.
