Connect your GoHighLevel account to Polca.

Agency owner or manager

Connect once for the whole agency.

1. In Polca, open Settings, then Connections.
2. Click Connect GoHighLevel.
3. Sign in to GoHighLevel and choose your sub-account.
4. Approve Polca. You return to Polca and the card shows Connected.

Individual agent

An agent with their own GoHighLevel sub-account can connect it from the same card with Connect my own GoHighLevel. Their leads and appointments then come from their own account instead of the agency account.

When a marketing agency runs your GoHighLevel

If someone else manages your GoHighLevel, choose the option for an outside manager. Polca gives you a secure link to send them. They sign in to GoHighLevel, pick your sub-account and approve. They never get a Polca login and never see your Polca data.

Checking the connection

The Connections card always shows the current state: Connected, Not connected, or Reconnect needed. If GoHighLevel access is revoked or expires, Polca shows a warning and a Reconnect with GoHighLevel button.

Reads

Contacts, tags, conversations and messages, calendars and appointments, pipelines and opportunities, and users on the connected sub-account. Polca uses these to fill dialing lists, route leads to the right agent, and book onto the right calendar.

Writes

Call notes, dispositions and tags on the contact. Appointments that agents or the AI setter book, reschedule or cancel. Opportunity stage changes. Messages sent from Polca.

Polca never deletes contacts.

How sync works

GoHighLevel sends changes to Polca as they happen, so new leads, messages and appointment changes usually show up within a minute or two. Every change is processed once and matched to the GoHighLevel contact ID, so updates change the existing record instead of creating duplicates.

Disconnecting

Open Settings, then Connections, and click Disconnect. Polca stops reading from and writing to your GoHighLevel account right away. Nothing in GoHighLevel is deleted. Your Polca data stays available to export. Removing Polca from inside GoHighLevel also cuts off access.
